yourCAO

For Dallas-Fort Worth business owners

One person to call about AI, who has been in your building.

You run the business. You don't have time to test every AI tool your vendors are pushing, and you shouldn't have to. Keep YourCAO on retainer and you get a standing advisor who comes on site, knows your systems, screens the pitches, trains your staff, and only recommends what pays. Based in Argyle, serving Dallas, Fort Worth, and the surrounding area.

Why a retainer

Eight reasons local owners keep us on the payroll (without the payroll)

A one-time project answers today's question. A retainer means the next question, and the one after that, has someone to go to.

01

One person to call, and they already know your business.

Every week someone on your team hits an AI question: should we use this, is it safe to paste that in, why did the tool stop working. On retainer, those questions go to a person who knows your systems and your people, and who has stood in your shop. No re-explaining, no ticket queue, no sales pitch on the other end.

02

Vendors stop selling you things you don't need.

Your software reps, your POS company, and every agency in town now have an AI add-on to sell you. We sit on your side of the table, read the fine print, and tell you which ones are worth it. We resell nothing, so the answer is often 'no.'

03

The tools you already pay for get used properly.

Most local businesses already own software with AI features they've never turned on, in their scheduling app, their accounting package, their phone system. Turning those on is the cheapest win there is, and it's usually where we start.

04

Small improvements every month instead of one big project a year.

A retainer means steady progress: one workflow fixed this month, a new intake process next month, a reporting headache gone the month after. The improvements stack, and nobody has to carve out a quarter for a big rollout.

05

Somebody is accountable for the number.

Every recommendation comes with a figure attached: hours saved, faster response, fewer errors. We review those numbers with you every month. If something isn't paying, we fix it or shut it off.

06

Your staff gets trained as things change.

New hire? New tool? New rule from your industry board? We keep your team's AI habits and policies current, in person when it helps, so the people using these systems know what's allowed, what isn't, and how to get the most out of what they have.

07

You don't have to keep up with the technology. We do.

The tools change monthly. Part of the retainer is watching that for you and telling you the two or three changes that matter for a business like yours. Everything else, you get to ignore.

08

It costs less than one hire, and you can stop any month.

$5,000 to $10,000 a month for an executive-level advisor, no contract, no recruiting, no benefits. If it stops paying for itself, you end it. That keeps us honest and keeps the seat earned.

Where it fits, where it doesn't

What AI usually does for a business like yours

Every business is different and the audit is where we find out for sure. These are the patterns we see most often by type of business, including the parts we tell owners to leave alone.

Dental, medical & wellness offices

Where AI fits

Appointment reminders and rescheduling, insurance verification prep, intake form processing, drafting follow-up messages, after-hours phone handling.

What stays human

Clinical judgment, patient conversations, anything that touches records without a clear privacy review.

Contractors & home services

Where AI fits

Quote drafting from photos and notes, lead follow-up within minutes, scheduling and dispatch, invoice chasing, review requests after a job.

What stays human

Site assessments, pricing calls on unusual jobs, the relationship with your best customers.

Restaurants, cafés & hospitality

Where AI fits

Reservation and event inquiries, reordering and inventory alerts, staff scheduling drafts, social posting from your own photos, review responses.

What stays human

Menu decisions, hospitality on the floor, anything a guest would notice was written by a machine.

Retail & specialty shops

Where AI fits

Product descriptions and listings, inventory questions across channels, customer email and chat, weekly sales reporting, loyalty follow-ups.

What stays human

Buying decisions, in-store service, the taste that makes your shop yours.

Law, accounting, real estate & insurance

Where AI fits

Document intake and sorting, first-draft correspondence, client status updates, scheduling, pulling numbers together for reports.

What stays human

Advice, review, and anything with your name or license on it. AI drafts; you decide.

Auto shops, gyms & other service businesses

Where AI fits

Booking and reminders, membership and billing questions, estimate follow-ups, parts and supply reordering, monthly numbers without the spreadsheet night.

What stays human

The diagnosis, the coaching, the handshake. The parts people pay you for.

What you get each month

A month on retainer, in plain terms

About 5 to 10 hours a week of our time, on site and on call, spent on decisions, direction, and being available. The hands-on building is done by your team, your tools, or builders we bring in and manage.

Weekly

Standing check-in

A short call or a running thread with you or your manager. What broke, what's new, what's worth looking at. Most questions get answered here.

Ongoing

Staff questions & vendor calls

Your team emails us directly. When a vendor pitches you, we join the call or review the proposal. When something needs building, we scope it and bring in the right hands.

Monthly

On-site numbers review

One sit-down at your place of business: what saved time, what didn't, what we do next month. We walk the floor, talk to the staff using the systems, and you always know what the retainer bought you.

Quarterly

Roadmap refresh

We re-check the plan against what's changed in your business and in the tools, and adjust. New opportunities go on the list; stale ones come off.

How it starts

Every retainer begins with the two-week AI Audit ($4,900, credited toward your first month). You see the plan and the numbers before you commit to anything ongoing, and the plan is yours to keep either way.

FAQ

Questions local owners ask us

Straight answers, the same ones we'd give you on a call.

We're a small local business. Is a fractional Chief AI Officer overkill?

Not if you have a team doing repetitive digital work every day, which describes most local businesses with more than a handful of employees. The title sounds bigger than the job. In practice it means you have one experienced person who knows your systems, answers your team's AI questions, screens the vendors, and makes sure the handful of things worth doing get done. Businesses in the Dallas-Fort Worth area with roughly 10 to 100 employees are the sweet spot.

What does the retainer cost for a local business?

$5,000 to $10,000 per month depending on size and how much is on the roadmap, for about 5 to 10 hours a week of our time. It's month to month with no long-term contract. Every retainer starts with the AI Audit ($4,900, credited toward your first month), so the retainer is scoped against a real plan instead of a guess.

We don't have an IT person. Does that matter?

No, and it's common. Most of our local business clients have no technical staff. Part of the role is being the person your team can ask, and part is coordinating whoever does the hands-on work, whether that's your software vendors, a builder we bring in, or us for the small stuff.

Will you work with the software we already use?

Yes. Whether it's QuickBooks, Square, Toast, Jobber, ServiceTitan, Housecall Pro, Clio, Dentrix, Mindbody, Shopify, or a spreadsheet, we start with what you have. The best wins for local businesses are usually features you already pay for and connections between the tools you already run. Replacing your systems is the last resort, not the first.

What if we only need help now and then?

Then start with the audit and keep the roadmap. Some owners do the audit, take the plan, and come back for a retainer later when there's more to do. The retainer makes sense once you want steady progress and a standing person to call. We'll tell you on the intro call which one you are.

How is this different from hiring a marketing agency or an IT company?

Agencies and IT firms sell you what they build or support, so their advice tilts toward their services. We don't build for a living and we resell nothing. Our only job is to tell you what's worth doing in your business and make sure it gets done well, by whoever is best placed to do it. Many of our clients keep their agency and their IT company. We just make sure everyone is working from the same plan.

Where are you located?

YourCAO is based in Argyle, Texas, in Denton County, which puts us within an easy drive of Denton, Flower Mound, Lewisville, Southlake, Fort Worth, and Dallas. Most of our on-site visits are within about an hour of Argyle, and we cover the full DFW metroplex.

Do you meet in person?

Yes. We're based in Argyle and serve the whole Dallas-Fort Worth area, and we come to you. The audit kickoff, the team interviews, and the monthly review happen at your place of business, because you can't map how a shop runs from a video call. Week-to-week questions are handled by phone, text, and email so the hours stay efficient. If you're outside DFW, ask on the intro call and we'll tell you whether we can make it work.
